1. Introduction

Welcome to Pine Valley Cabins. By booking a stay at our property, you agree to the following Terms and Conditions. These policies are designed to ensure a safe, respectful, and enjoyable experience for all guests while protecting the property and surrounding community.

2. Booking and Payment

Guests must be at least 18 years old to make a reservation. The primary guest must provide valid identification and may be required to sign a rental agreement.

All reservations are processed securely through Hostfully, our property management and booking platform. Payment details are collected and processed through Hostfully and its integrated payment providers. Pine Valley Cabins does not store full credit card information on its own servers.

A valid credit card may be required on file for security and incidental charges.

3. Cancellation and Rescheduling Policy

Guests will receive a 100% refund for cancellations made 30 days or more before the scheduled arrival date.

Cancellations made 29 days or fewer before the arrival date are non-refundable.

Rescheduling requests may be permitted if made at least 30 days prior to check-in and are subject to availability. Only one rescheduling request may be accepted per reservation.

4. Check-In and Check-Out

Check-in begins at 4:00 PM. Check-out is at 10:00 AM.

Early check-in or late check-out may be available upon request and may be subject to additional fees. Approval is not guaranteed and depends on availability.

Self check-in is provided via secure keypad access.

5. House Rules

1) Maximum occupancy is four (4) guests per cabin unless otherwise approved in writing.

2) No pets are permitted unless agreed upon in writing prior to arrival.

3) No smoking inside any cabin. Violation of this policy may result in additional cleaning charges and damage fees.

4) No parties, events, or large gatherings are permitted.

5) Quiet hours are strictly enforced between 10:00 PM and 8:00 AM.

6) Guests must follow all posted rules regarding use of shared spaces, including the pavilion, pickleball court, fire pit, and hot tubs.

7) Failure to comply with house rules may result in eviction without refund.

6. Guest Release of Liability

Guests acknowledge that staying in a mountain environment and using outdoor amenities involves inherent risks.

Pine Valley Cabins is not responsible for injuries, accidents, or loss of personal property during your stay. Guests assume all risks associated with use of the premises, including but not limited to porches, hot tubs, fire pits, pickleball courts, walking paths, and other amenities.

7. Privacy Policy

Guest information is collected for booking, communication, and service purposes. Reservation data is processed through Hostfully.

We do not sell guest data. Limited information may be shared with trusted service providers, including property management systems, cleaning services, maintenance teams, and payment processors as necessary to complete your stay.

Marketing communications may be sent to guests who opt in. Guests may unsubscribe at any time.

8. Damage and Security Deposit

Guests are responsible for any damage beyond normal wear and tear caused during their stay.

If applicable, a security deposit may be used to restore the property to its original condition. If damages exceed the deposit amount, the primary guest authorizes additional charges to the card on file.

Excessive cleaning, unauthorized pets, rule violations, or property damage may result in additional fees.

9. Mechanical Failures & Force Majeure

Pine Valley Cabins cannot guarantee against mechanical failure of heating, air conditioning, appliances, hot tubs, internet service, or utilities. No refunds or rent reductions will be issued due to mechanical failures, maintenance issues, utility interruptions, weather conditions, or events beyond our reasonable control.

10. Compliance with Local Laws

Guests must comply with all local, state, and federal laws, including noise ordinances and occupancy limits.

Violations of laws or house rules may result in immediate termination of occupancy without refund.
